XReg Consulting is a boutique policy and regulatory affairs consultancy specialising in crypto-assets. We help governments, regulators and public authorities, financial institutions and crypto industry businesses by providing strategic advice and operational support. The team, led by former policymakers and financial supervisors with extensive experience in regulating crypto-asset service providers, operates globally on one-off assignments and ongoing engagements for a wide variety of organisations.

As an international company looking to grow its team, we are seeking to hire an individual to provide administration & operations support to work with executive leaders and team members to perform a variety of administrative tasks and support our company with operational matters.

The successful candidate will be expected to work on a daily basis and closely with the team. They will play a pivotal role at XReg and must be comfortable in a fast-moving environment and addressing the needs of the team and Company. Applicants should be willing to develop particular sectoral or geographic expertise if they do not already possess it.

The position is a part-time role with an initial probation period of 6 months. This role does not entail specific responsibilities for revenue generation, although successful candidates will be expected to participate in activities to grow the business.

Specific Responsibilities

• Compiling documents and presentations for meetings
• Supporting relocation and settlement of foreign recruits including making visa applications, obtaining necessary work permits and arranging housing.
• Assisting with company secretarial duties, human resources tasks and expenses or company reports.
• Establishing and maintaining protocols relating to the office, including mandatory compliance record-keeping such as contact information.
• Performing administrative and office support, such as filling in application forms, posting forms, taking minutes during meetings, spreadsheet creation, and maintenance of filing system and contact database.
• Keeping up with office supply inventory.
• Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
• Format information for internal and external communications such as memos, emails, presentations, reports.
• Monitoring mailboxes to ensure incoming communications are addressed.  
• Assisting with event organisation, both internal and external, in a capacity both logistical and creative.

Qualifications and Skills

• Work experience as an office or human resources assistant, company secretary or similar role.
• Exceptional English and, as a plus, either Spanish, Ukrainian, German or French language communication skills, both written and oral would be considered an asset and preferred.
• Excellent Microsoft Office knowledge.
• Outstanding organisational and time management skills.
• Familiarity with office gadgets and applications (e.g., e-calendars and copy machines).
• Excellent verbal and written communications skills.
• Discretion and confidentiality.
• Relevant diploma or certification is a plus.
• Be resourceful, innovative, and proactive to support the executive leaders and team members.
• Ability to think independently and make decisions under pressure.
• Good communication and interpersonal skills. Must be able to share information with executive leaders and members of the team as well as external stakeholders efficiently and effectively.
• Strong work ethic and personal motivation.
• Willingness to work flexible hours and to travel, if applicable.
• Ability to work in a fast-paced environment, with multiple and changing priorities while maintaining strong focus on execution and results.

Travel, Remote Working and Packages

Although XReg operates from Gibraltar, Brussels, and London, XReg team members are free to work from home and to be based anywhere in the world. When necessary, they are expected to make themselves available during our office hours or in clients’ time zones. Once the COVID-19 pandemic has abated, the successful candidate may be required to travel, including internationally, as needs dictate.
